What Missed Calls Actually Cost Your Business (Do This Math Once)

Missed calls don't show up on any report. No line in your accounting says "revenue lost to voicemail." So the cost stays invisible, and invisible costs never get fixed. Let's make it visible with five minutes of math.

The worksheet

You need four numbers. Estimates are fine.

1. Calls missed per week. Count calls that ring out, hit voicemail, or come in after hours. Most owners guess low, so check your phone system's log if you have one. Say it's 15.

2. Share of calls that are potential new business. Not every call is a lead. For most service businesses, somewhere between a quarter and half of inbound calls are new customers trying to buy. Say a third: 5 missed opportunities a week.

3. How many would have booked. If someone calls a plumber, a clinic, or a salon, they're usually ready to book with whoever answers. Be conservative and say half: 2.5 bookings lost a week.

4. Average value of a new customer. Not one job, the relationship. A patient who visits for years, a homeowner who calls you for every repair. If a first job is $300 and a typical customer returns twice more, use $900.

Now multiply: 2.5 lost bookings × $900 × 52 weeks. That's over $100,000 a year, from a business missing 15 calls a week. Even if you cut every assumption in half, it's a serious number.

Why voicemail doesn't save you

The instinct is "they'll leave a message and I'll call back." Mostly, they won't and you can't. The three ways to stop the leak

Hire more front desk coverage. Works, but it's the expensive option, and it still doesn't cover 11 PM or Sunday.
